Checking your rental contract for hidden cleaning fees

Most drivers in Cardiff worry about car park dents or scratched alloys when they hire a car. But lately, we have seen more people get hit with a £120 or £150 bill for 'specialist cleaning' because of a few crumbs or a dry coffee ring in the cup holder. Honestly, it is often a way for big rental chains to squeeze an extra bit of profit out of a three-day hire.

The £145 latte stain trap

In the last 11 months, we have spoken to 47 different business travellers who were charged between £110 and £165 for interior cleaning at major airport hubs. One client, a consultant from Pontcanna, was billed £142.50 because of a small splash of white coffee on the passenger seat fabric. The rental company claimed they had to take the car off the road for 48 hours to use a steam cleaner. In reality, that kind of mark usually comes out in 7 minutes with a standard upholstery foam. It is important to look at the 'Fair Wear and Tear' section of your contract before you sign anything at the desk.

Check if the contract defines 'excessive' soil. If the wording is vague, you are at the mercy of the person checking the car back in. We don't charge for a vacuum run because we do that anyway between every single booking. If you see a clause that mentions a flat fee for any interior mark, ask them to clarify it in writing or take a photo of the seat before you drive out of the Cardiff bay depot.

Sand and mud from the Beacons

If you are taking an SUV up toward the Brecon Beacons for a weekend, mud is going to happen. Most big hire firms expect the car to come back looking like it just left a showroom. If there is dried mud on the floor mats, they might trigger a £85 valeting fee. We have found that 14 out of 20 rental agreements in the South Wales area do not distinguish between exterior dirt and interior 'damage'. This is a massive loophole that allows them to charge you for a full professional valet even if the car only needs a 3-minute wash.

We suggest checking the footwells for existing grit before you leave the yard. If you find sand or dried grass from the previous renter, make sure the agent notes it down on the digital check-sheet. On October 12th, a local driver showed us a contract where the 'cleaning' fee was actually higher than the daily rental rate of the car. That is a clear red flag. If you are planning a trip to the coast, like Ogmore-by-Sea, assume that sand will get into the carpets and check if the firm has a specific 'sand removal' surcharge in their fine print.

The 4-hour prep standard

Our team spends about 4 hours prepping every vehicle before a trip. This includes a 22-point check of the interior. We look for things like sticky residue in the door bins and dust on the air vents. Most people don't look that closely when they pick up a car at 8:00 AM on a Monday, but the return inspector certainly will at 5:00 PM on a Friday. If the previous driver had a dog in the car and left 3 or 4 hairs on the rear bench, you could be the one paying the £150 pet hair removal fee if you didn't spot it at the start.

To be upfront, we are not the cheapest hire service in Cardiff, but we don't play these games with cleaning bills. If we say 'Quiet ride guaranteed', that means the car is spotless and mechanically sound. We keep 18 vehicles in our fleet, and each one is inspected by a human, not just run through a tunnel wash. If you are hiring elsewhere, always use your phone to take a 30-second video of the seats, the roof lining, and the boot floor before you put your bags in. It is the only way to prove that the mess wasn't yours.

Smoke and ozone treatments

The biggest cleaning charge you will ever face is for tobacco smoke. This usually starts at £200 and can go up to £450 because the car has to be treated with an ozone generator for 12 hours to kill the smell. Even if you don't smoke, if the driver before you did, the smell might be masked by a heavy air freshener when you first get in. Once that scent wears off after 20 miles of driving, the smoke smell returns. If you don't report that within the first hour of your hire, the company will likely blame you when the car is returned.

We had a case in July 2024 where a driver was nearly charged for smoking because he had been at a bonfire and his jacket smelled of woodsmoke, which transferred to the leather. Thankfully, our fleet manager Sian Roberts could tell the difference. But a junior clerk at a massive rental firm won't care about the difference. They see a smell, they click a button, and the £200 is gone from your credit card deposit. Always sniff the interior before you leave the car park and ask for a different vehicle if there is even a hint of old smoke.
