Data Collection

At The Loamy Cape, we keep our data collection simple. When you ask for a hire quote or book a VIP transfer from our Cardiff base, we need a few specific details to make it work. Usually, this means your full name, a work or personal email address, and a mobile number. We need the mobile number so our drivers, like Gareth, can send you a text with their car plate and name when they arrive at the airport or your office. We also collect your pickup address and where you are headed. We don't ask for your life story or any details that don't help us plan your route. Most of the 83 active accounts we manage just want a quiet ride and a clear bill at the end of the month.

If you are hiring one of our 14 vehicles for self-drive, we will also need to see your driving licence and insurance details. This is just to satisfy our fleet insurance and keep everything above board. We don't build big marketing profiles on our clients. If you send us a message through our contact form, that information stays with Sian Roberts and our small office team here at 15 Park Lane. We collect information about your business trips, such as whether you need a driver who knows the back lanes around Newport or if you prefer an unbranded SUV for a private site visit. This helps us ensure the car is prepped exactly how you need it before it leaves our yard.

How We Use Info

We use your information for one main reason: to drive you where you need to go. When Sian receives your booking request, she uses your route details to check our current fleet schedule and work out a fair price. If you agree to the quote, your name and phone number are given to your assigned driver. This ensures they can find you at the arrivals gate or the hotel lobby without any fuss. We never sell your email or phone number to outside marketing firms or data brokers. That isn't how we do business in Cardiff. Our goal is a clean cabin and a quiet ride, not selling your data to the highest bidder.

Sometimes we might use your email to send a follow-up after a long-distance trip to London or Birmingham. We do this to check if the driver was on time and if the cabin met our standards. However, we don't send weekly newsletters or spam. If you've been a regular client for a while, we keep your basic contact info on file to make your next booking faster. This saves you from typing out the same details every time you need a run to Heathrow or Bristol. Your data stays within our team and is only used to manage your travel logistics. We focus on the practical details that make corporate travel work, like ensuring you have the right charging ports for your devices during the journey.

Storage & Safety

Security for us means being sensible with your details. We store our booking records on secure systems that only our small office staff can access. We aren't a massive international corporation, so we don't have layers of complex tech, but we do use standard encryption to keep your emails and messages safe. We keep hire agreements and records for as long as the law requires, usually for tax and insurance purposes. Once that time is up, we delete the records from our system. We don't keep stacks of old paperwork lying around our Park Lane office. We believe in keeping our digital space as clean as our car interiors.

If you decide you don't want us to have your details anymore, you can just ask. We'll wipe your contact info from our booking list unless there is a legal reason we have to keep it, like an open invoice or an ongoing hire contract. We treat your data the same way we treat our SUVs—we keep it tidy, organized, and only use it for its intended purpose. We don't share your trip history with anyone else unless we are legally forced to, which honestly hasn't happened in our 8 years of operating here in South Wales. Our owner, David Thorne, oversees our data practices to ensure we stay compliant with UK laws while keeping the process straightforward for our clients.

Cookies & Rights

Our website uses basic cookies to work properly. These are small files that help the site remember what you've typed into the quote calculator or the contact form so you don't lose your progress. We also use very simple analytics to see how many people are visiting our fleet gallery or reading our driver blog. This helps us understand if our traffic tips for the M4 are actually helpful to local commuters. These cookies don't tell us who you are or exactly where you live. They just show us general numbers, like how many people clicked on our SUV hire page this week. It helps us decide which vehicles to add to the fleet next.

You have the right to ask us what information we hold about you at any time. You can also ask us to correct any mistakes, like a typo in your phone number or an old office address. Under UK law, you have the right to be forgotten, which means we will delete your data upon request if we no longer need it for a legal contract. For any questions about your privacy, you can reach Sian at our Park Lane office. We don't use aggressive tracking pixels or follow you around the internet with ads. Our focus is on the road and providing a reliable service for the business community in Cardiff. We keep the paperwork short so you can get on with your work.
