VIP delegation transport for 3 days
A tech company hosted 7 guests from overseas. We coordinated three cars to handle airport pickups, hotel transfers, and a dinner run. We adjusted the schedule in real-time when two flights were diverted to Bristol.
Vortex Systems needed to move 7 senior engineers from Cardiff Airport to their city centre office and local hotels. The schedule spanned three days and involved 19 separate vehicle movements across South Wales.
The challenge
The original plan relied on two flights landing at Cardiff Airport (CWL) within 30 minutes of each other. Heavy fog on the second morning forced two flights to divert to Bristol Airport (BRS) with only 45 minutes of warning. This put the 19:30 dinner reservation at The Parkgate Hotel at risk. We had to reroute two drivers to Bristol while one stayed in Cardiff for the Munich arrival. Traffic on the M4 was heavy due to roadworks near Newport, adding 25 minutes to the usual transit time.
Our approach
We assigned three of our regular drivers—Gareth, Rhys, and Marc—to this project. They used a shared dispatch log to track flight numbers in real-time. When the diversion alert came through at 09:12, we shifted Rhys and Marc to the M4 eastbound immediately. We kept the cabin environments strictly silent as the guests had been travelling for over 10 hours. Each car was stocked with still water and local newspapers but no unnecessary chatter was permitted, sticking to our quiet ride promise.
The solution
We used two silver Mercedes S-Class sedans and one black Range Rover. This mix allowed us to handle the luggage for the three guests staying for the full week. We managed the pick-ups from Bristol without the guests waiting at the curb for more than 4 minutes. Our team handled all parking fees and bridge tolls behind the scenes, so the guests never saw a receipt or a payment terminal. We provided a single consolidated invoice to the Vortex Systems finance team on the following Monday.
Results
The delegation reached every meeting on time despite the airport diversions and motorway delays. The quiet environment in the cars allowed the engineers to sleep or prepare for their presentations without distraction.
